Office Coordinator

We're looking for a top-tier Office Coordinator to be at the center of support for an organization in rapid growth. Your attention to detail, experience in hospitality and ability to deal with a high level of ambiguity will be instrumental in ensuring the proverbial wheels are always turning. Your focus will be on ongoing facilities and office coordination and your mission will be to enhance the experience of working at Axiom Zen for our world-class team in our Vancouver office.

What we’ll accomplish together:
  • You will support the organization as it scales. You will identify ways to further enhance the Axiomatic experience through our physical workspace and the perks we provide to our team
  • You will serve as a catalyst that allows project teams to do their best work at all times. That means you will be the crucial gateway to logistics for the Executive Assistant, Events, and Marketing teams and diving deep into any initiatives that arise
A little about you:
  • You are comfortable applying your skills across a variety of use cases, including but not limited to administration, business support, facilities management, and program development
  • We believe in processes and the power of planning, but you will often have to roll with the punches and prioritize the most impactful tasks on the fly
  • You have office coordination experience
  • You’re a go-getter, and comfortable working autonomously and proactively
  • Your high attention to detail allows you to identify gaps and missing pieces to minimize opportunities for oversight
  • You have experience supporting various teams with competing priorities
  • You’ll be front-of-house, so experience in hospitality is a nice to have (i.e.: hosting visitors, touring guests, supporting special events, etc.)
The role:
  • You will be responsible for making sure the Den (our Vancouver headquarters) looks as good as it did on Day 1, protecting and showcasing our brand throughout the space, whether it’s to prep for a meeting with investors or resetting our meeting rooms to make sure all office equipment is working smoothly
  • Assist with welcoming clients and visitors to the office and assist them as needed
  • Not afraid to run on the fly errands that come up i.e running out to get a birthday card
  • Assist with organizing relevant office events
  • Liaise with the appropriate stakeholders to order office supplies and plan meeting rooms
  • Keep office clean and to promote an efficient working environment
  • Support with IT (distributing electronics, supporting AH)
  • Assist with getting new hires onboarded onto their laptops
  • Organize numerous parts of the office
