Office Manager

Vancouver, BC
We're looking for a top-tier Office Manager to be at the epicenter of support for an organization in rapid growth. Your attention to detail, experience in hospitality, and ability to deal with a high level of ambiguity will be instrumental to ensuring the proverbial wheels are always turning. Although your focus will be on ongoing facilities and office coordination, your mission remains the same - to enhance the experience of working at Axiom Zen for our world-class team in our Vancouver office.

Every one of us shares a common vision: to create the future we want to live in. We need the right people to help us realize that vision.

A little about us:
Axiom Zen is the venture studio behind several successful startups including Dapper Labs (the makers of CryptoKitties, the most popular blockchain game), ZenHub (the world’s leading developer-focused project management platform), Routific (the world’s leading route optimization engine), and many others. Formed in February 2018, Dapper Labs was spun out of Axiom Zen to spread the benefits of decentralization through the power of play, fairness, and true ownership. Notable investors in Dapper Labs include Andreessen Horowitz, Union Square Ventures, Venrock, Google Ventures, Samsung, and the founders of Dreamworks, Reddit, Coinbase, Zynga, and AngelList, among others.

Axioms are humble and curious entrepreneurs, builders, and tinkerers who share a passion to demystify blockchain technology and tap its potential to create change in the world. Our people are our greatest strength: our diverse crew flourishes in a distributed hierarchy where personal autonomy and professional growth are encouraged. We value our culture above else: regardless of where you came from, what you studied, or who you used to work for, your role here will necessitate both a high level of creativity and strategic thinking on complex issues. Everyone here is a founder, and no one fits in a box. We’re all driven by an insatiable thirst for learning and development, and that’s what brings us together.
What we’ll accomplish together:
  • You will support the organization as it scales. You will identify ways to further enhance the Axiomatic experience through the perks we provide to our team.
  • We're moving! You'll have a unique opportunity to assist with relocation into a brand new space. We'll be relying on your attention to detail as we make sure our space looks crisp when we move in and beyond!
  • You will serve as a catalyst that allows project teams to do their best work at all times. That means you will be the crucial gateway to logistics for the Executive Assistant, Events, and Marketing teams and diving deep into any initiatives that arise.
A little about you:
  • Your high attention to detail allows you to identify gaps and missing pieces to minimize opportunities for oversight.
  • You’re a go-getter, and comfortable working autonomously and proactively.
  • You are comfortable with applying your skills across a variety of use cases, including but not limited to administration, business support, facilities management, and program development.
  • We believe in processes and the power of planning, but you will often have to roll with the punches and prioritize the most impactful tasks on the fly.
  • You have office manager experience.
  • Effective oral and written communication skills and ability to work cooperatively with internal and external business partners
  • You have experience supporting various teams with competing priorities.
  • You’ll be front-of-house, so experience in hospitality is a nice to have (i.e.: hosting visitors, touring guests, supporting special events, etc.)
The role:
  • Keep office space clean and organized on a daily basis- You will be responsible for making sure the Den (our Vancouver headquarters) looks like it did on Day 1, protecting and showcasing our brand throughout the space, whether it’s to prep for a meeting with investors or resetting our meeting rooms to make sure all office equipment is working smoothly.
  • Welcome clients and visitors to the office and assist them as needed.
  • You will utilize various shipping platforms (FedEx, UPS, Canada Post, and more) to manage inbound and outbound mail.
  • Manage relationships with vendors, service providers and landlord, ensuring that all items are invoiced and paid on time.
  • You’ll be coordinating all things food to make sure our Axioms are well fed and happy: grocery and daily lunch orders, Friday team lunch orders, maintaining kitchen resets, setting up breakfast and afternoon snacks, organizing ice cream Fridays, and more.
  • As our vendor relations support specialist, you’ll be responsible for ensuring that our partners are well supported on-site during scheduled visits.
  • Frequently check office supply stock; reorder supplies when needed.
  • You’ll be hands-on-deck for special events and initiatives.
  • Coordinate with HR (as required) to maintain office policies as necessary.
  • Not afraid to run on the fly errands that come up i.e running out to get a birthday card.
  • Coordinate with external parties on ordering tech, and ensuring the team has all the tools they need.
  • Scheduling company off-sites and coordinate events as necessary.
  • Implement procedural and policy changes to improve operational efficiency.
  • Coordinate with designers, contractors as well as source/order furniture for new offices.
