Office Coordinator

Vancouver, BC
Are you someone dynamic and willing to take on a lot of diverse responsibilities in an exciting, fast-paced environment? Then this is the job for you! Your attention to detail, experience in hospitality, and ability to deal with a high level of ambiguity will be instrumental to ensuring the wheels are always turning. Although your focus will be on ongoing facilities and office coordination, your mission remains the same - to enhance the experience of working under the Axiom Zen portfolio for our world-class team.

Every one of us shares a common vision: to create the future we want to live in. We need the right people to help us realize that vision.

A little about us:

Axiom Zen is a startup that builds startups. Founded in 2012, we have built dozens of products, and standalone companies, serving hundreds of millions of consumers. Our companies include Dapper Labs (the makers of CryptoKitties, and NBA Top Shot, two of the world’s most popular blockchain games), ZenHub (improving developer productivity in startups and Fortune 500). Axiom Zen was named first among Canada’s Most Innovative Companies in 2016. Born on February 28, 2018, Dapper Labs is the home of CryptoKitties and NBA Top Shot. The group was spun out of Axiom Zen to spread the benefits of blockchain technology through entertainment and play. Dapper Labs has an internal game studio as well as social platform and infrastructure teams that are building different products for the blockchain space.
What we'll accomplish together:
  • You will support the organization as it scales.
  • You will identify ways to further enhance the Axiomatic experience through the perks we provide to our team.
  • You will serve as the catalyst that allows project teams to do their best work at all times. That means you will be the crucial gateway to logistics for the Executive Assistant, Events, Operations and Marketing teams - diving deep into any initiatives that arise.
A little about you:
  • Your high attention to detail allows you to identify gaps and missing pieces to minimize opportunities for oversight.
  • You’re a go-getter, and comfortable working autonomously and proactively.
  • You are comfortable with applying your skills across a variety of use cases, including but not limited to administration, business support, facilities management, and program development.
  • We believe in processes and the power of planning, but you will often have to roll with the punches and prioritize the most impactful tasks on the fly.
  • You have office management or coordination experience. Effective oral and written communication skills and ability to work cooperatively with internal and external business partners.
  • You have experience supporting various teams with competing priorities.
  • You’ll be front-of-house, so experience in hospitality is a nice to have (i.e.: hosting visitors, touring guests, supporting special events, etc.)
The role:
  • Keep office space clean and organized. You will be responsible for making sure the Den (our Vancouver headquarters) looks like it did on Day 1, protecting and showcasing our brand throughout the space, whether it’s to prep for a meeting with investors or resetting our meeting rooms to make sure all office equipment is working smoothly.
  • Work with the Operations team on return to office planning and ensuring the office is set up for a COVID-19 free environment.
  • Welcome clients and visitors to the office and assist them as needed.
  • You will utilize various shipping platforms (FedEx, UPS, Canada Post, and more) to manage inbound and outbound mail.
  • You will be responsible for sending out SWAG to VIP’s and team members.
  • Manage relationships with vendors, service providers and landlords, ensuring that all items are invoiced and paid on time.
  • As our vendor relations support specialist, you’ll be responsible for ensuring that our partners are well supported on-site during scheduled visits.
  • Frequently check office supply stock; reorder supplies when needed.
  • You’ll be hands-on-deck for special events and initiatives. Coordinate with HR (as required) to maintain policies as necessary.
  • Coordinate with external parties on ordering tech, and ensuring the team has all the tools they need.
  • Implement procedural and policy changes to improve operational efficiency.
  • Own our Axiom Zen and Dapper Labs Social Media accounts which involves posting on them regularly and coming up with content.
  • Running team virtual (and hopefully soon in office) events, and helping own the social committee.

- When we can safely return to our head office in Vancouver, fuel up with healthy snacks and coffee, get fit with an onsite gym, recover with onsite RMT/acupuncturist, and meet the many furry friends of our dog-friendly office!
